Who we are
Scalp Micro Pro Clinic ("we", "us") is a scalp micropigmentation and hair-loss clinic at 529 College Road, Suite F, Greensboro, NC 27410. This policy explains what personal information we collect through scalpmicroproclinic.com, our booking site and our clinic, what we do with it, who helps us handle it, and the choices you have.
What we collect
Information you give us:
- Contact details — your name, email and phone number when you ask for a quote, join our newsletter, book an appointment or talk to us at the clinic.
- Booking details — the service, date and time you choose, any add-ons, and a referral code if you use one.
- Hair photos — photos you upload while booking so we can prepare your consultation, and photos we take at the clinic for a hair preview, only after you agree to it.
- Health and consent information — answers to the health questions and the consent you sign for some services. We use them only to prepare and carry out your treatment safely.
- Payment information — when you pay a deposit, your card details go directly to our payment processor, Stripe. We never see or store your full card number; we keep the amount, the date and whether the payment went through.
Information collected automatically on our public pages:
- Usage data — pages viewed, links clicked, approximate location, device and browser type, collected by Google Analytics for Firebase.
- Preferences stored in your browser — your language and light/dark choice, and, while you book, your progress through the booking steps. These stay on your device.
How we use it
- To answer your questions, send the quote you asked for and follow up about it.
- To schedule, confirm and remind you of appointments, and to manage changes and cancellations.
- To take deposits and payments, and to apply referral discounts and credit.
- To create hair previews you asked for and share them with you through a private link.
- To send our newsletter if you subscribed. Every email has an unsubscribe link.
- To understand how the site is used and improve it.
- To meet our legal, tax and accounting obligations, and to protect our clinic and clients from fraud.
We do not sell your personal information, and we do not share it for other companies' advertising.
Text messages
When you give us your mobile number to book or to ask about our services, we may text you about that request: appointment confirmations, reminders and changes, and answers to your questions. Message frequency varies. Message and data rates may apply.
Reply STOP at any time to stop receiving texts, or HELP for help. If you stop texts, we will still reach you by email about appointments you have booked. We do not send marketing texts unless you have agreed to receive them separately. Mobile numbers and text-message consent are never shared with third parties for their marketing.
Who helps us handle your information
We share personal information only with service providers that work for us, and only what each one needs:
- GoHighLevel — our client-management system. It keeps your contact details, appointments and the messages we exchange, and sends our emails and texts.
- Stripe — processes card payments and deposits.
- Google (Firebase Analytics) — measures how our public pages are used.
- OpenRouter and the AI model providers it connects to (currently Google's Gemini image models) — receive the clinic photo of your scalp, without your name, to generate the hair preview you asked for.
- Vercel and Neon — host our website and the database behind our staff tools.
- Cherry — if you choose to apply for financing, you do so on Cherry's site and under Cherry's own terms and privacy policy.
We may also disclose information when the law requires it, to protect someone's safety, or as part of selling or transferring our business, in which case the new owner remains bound by this policy.
How long we keep it
- Contact, appointment and payment records are kept for as long as you are a client and afterwards as required for tax and accounting.
- Hair-preview photos that we did not use are deleted automatically after 12 months. Previews you approved, and the photos they were made from, stay on your client record until you ask us to delete them.
- Private preview links stop working after 14 days, or sooner if we revoke them.
Your choices
Wherever you live, you can ask us to tell you what personal information we hold about you, to correct it, or to delete it, including your photos. Write to scalpmicropro@gmail.com or ask us at the clinic. We may need to confirm it is you, and we may keep records we are legally required to keep.
You can stop texts by replying STOP, and stop marketing emails with the unsubscribe link in any of them.
Security
We use reputable providers, encrypted connections and restricted staff access to protect your information. Photos are only reachable by our staff, or by you through a private link that expires. No system is perfectly secure, so please contact us right away if you think your information has been misused.
Minors
Our services are for adults. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we will delete it.
Changes to this policy
We will update this page when our practices change and change the date at the top. If a change is significant, we will tell you on the site or by email before it applies to information we already have.
